
How to Switch Copier and Toner Vendors in Southern Indiana Without Getting Burned
Most business owners do not switch copier vendors because they want a new machine. They switch because the phone rings and rings when the copier goes down, the toner shows up three days late, or the bill keeps creeping up with charges nobody explained. Walking away in a hurry is exactly how good businesses get burned. A copier agreement is a contract, and the company you are leaving wrote it to protect itself. Start with your agreement, not your frustration
Before you tell anyone you are leaving, find your paperwork. You are usually dealing with two separate things, and people mix them up all the time:
- The equipment lease. This is the financing on the machine itself, and it is often held by a third-party leasing company, not your local dealer.
- The service and supply agreement. This covers toner, parts, and repairs, usually billed per page or on a flat monthly rate.
You can be unhappy with the service and still be locked into the lease, or the other way around. Read both, and note the end dates. That single step tells you whether you are free to move now or whether you need a plan to bridge the gap.
Watch for the auto-renewal trap
This is the one that catches the most people. Many copier agreements include an automatic renewal clause, sometimes called an evergreen clause. If you do not send written notice to cancel inside a specific window, often 60 or 90 days before the term ends, the contract renews itself for another full year or longer.

Do not forget the hard drive
Here is the part almost nobody thinks about. Modern copiers have a hard drive inside, and it can store images of everything that machine has scanned, faxed, or printed. That can include payroll, contracts, patient forms, and customer records.
When the old machine leaves your office, that data should not leave with it. Before any copier goes back to a leasing company, make sure the drive is wiped or removed. Time the switch so you are not paying twice
The smoothest transitions overlap by just a few days. You do not want your old service canceled before the new machine is running, and you do not want to pay two vendors for a month. A good plan looks like this:
- Confirm your real end date and any buyout figure from the current contract.
